New calculation method for GDPR retention policy

How it works

Candidates who remain in the system due to a past employment relationship can only be cleaned up using the GDPR retention policy. This policy now includes a new calculation method based on the calendar year. Previously, retention policies could be set using year, month, and day options. Now, calendar year has been added as an option.

The result of using the calendar year method is that the retention period is automatically set to the first day of the following calendar year.

For example, in setup under custom metadata types, a GDPR retention policy is configured with a calculation of five calendar years, using the employment contract as the starting point.

If the end date of a candidate’s last employment contract is March 12, 2019, the retention policy will require the information to be deleted after December 31, 2024. In this case, the reference date is set to December 31, 2019, and five years later, on December 31, 2024, the data will be marked for cleanup starting January 1, 2025.
